Summary of Position
This part-time (20-25 hrs per week), hourly position is a hybrid role that divides time between administrative work and studio support. The responsibilities of Studio & Admin Assistant include working collaboratively with the Studio Manager & Studio Director on class and material prep, and communication with teachers and students. This position plays a key role in supporting all WildCraft programming.
Supporting workshops is a physical, hands-on experience that involves professional engagement with our teachers, friendly interaction with our students, photographic documentation of each workshop as well as maintaining a clean, orderly and welcoming physical space.
This part-time position offers an entry level role for a responsible, friendly person looking to gain experience as part of a creative team.
Essential Job Duties and Responsibilities: Studio & Admin Assistant
1. Facilitation of in-studio and off-site classes
- The Work: Supporting workshops is a hands-on experience that involves professional engagement with our teachers, friendly interaction with our students, photographic documentation of each workshop as well as maintaining a clean, orderly and welcoming physical space.
- The Team: The Studio Staff team works together to ensure that teachers and staff are completely prepared to lead and host any and all workshops.
2. Communication with Students & Data Entry
- The Work: The Studio Manager and Admin/Studio Assistant answer the majority of the emails sent by students to the info@wildcraftstudioschool.com address. The Admin/Studio Assistant sends out ‘weekly reminder’ emails to students, and collaborates with the Studio Manager to enter class purchases, manage registration spreadsheets, credits, cancellations, etc.
- The Team: This work is completed collaboratively amongst the Studio Staff team. Schedules are created to organize who is responsible for data entry on what days/times, as well as who is communicating with students/teachers.
3. Supports Material Preparation
- The Work: The Admin/Studio Assistant works with the Studio Manager to organize and prepare materials, maintain inventory and run errands related to class preparation. The Studio Director or Studio Manager is responsible for ordering supplies.
- The Team: This work is done in collaboration with all Studio Staff.
Qualifications
- Excellent written and verbal communication skills
- Proficiency with basic office/registration tools (Google Workspace, spreadsheets)
- Comfort accurately handling financial transactions
- Ability to perform repetitive administrative tasks (data entry, invoicing, email correspondence) with accuracy and attention to detail
- Reliable availability for a consistent weekend/evening schedule
- Experience in craft/textiles practices
- Love for nature & outdoor excursions
- First Aid/CPR Certified or willingness to take a First Aid/CPR Certification course
- Experience guiding/supporting groups of people
- Friendly & outgoing with fantastic communication skills
- Ability to work independently in an efficient and productive manner
- Excellent time management skills
- Ability to take direction, give and receive feedback
- Positive, can-do attitude
- Demonstrates an awareness and sensitivity to cultural and other differences when working with teachers, staff and representatives of public and private organizations.
- The qualified candidate must possess a compatible commitment to the WildCraft brand personality: curious, open-minded, creative, gracious and approachable
- Must have a valid driver’s license and reliable transportation. This position can require up to 200 miles drive time per weekend to off-site workshops.
Preferred Qualifications
- Experience in retail, hospitality, or customer-facing roles
- Experience with Shopify, PayPal, or similar e-commerce/registration platforms
- Experience creating content for social media
Travel, Working Conditions, and Physical Environment
- Ability to sit and work at a computer for extended periods.
- Ability to lift 35 lbs, move 5-gallon pots of water, load boxes and heavy items in and out of cars
- Ability to exchange information through listening and talking with fellow teammates, teachers and community partners.
- Must be willing to respond in a timely manner to emails, phone calls and text messages from Studio Director and/or teammates.
- Work can potentially be performed outside where the employee is subject to adverse weather conditions, such as rain, wind, snow or high temperatures.
- Work will frequently be performed in our NW Portland studio, in a space with 30+ individuals learning in a workshop setting.
- Physical ability to hike for 5+ hours in all weather, all terrain.
- Ability to document class content and share with marketing.
- Potential travel for offsite workshops.
- Must be available to work weekends and evenings.
- Must be able to complete administrative work on your personal computer.
